The Finance and Operations Coordinator is a key position on the Berkman Klein Center (BKC) Finance team supporting a wide range of exciting public-interest focused research and programmatic activities, as well as community members at every level within the BKC, including faculty, students, staff, fellows, and visitors and from all over the world. The Coordinator’s main responsibilities revolve around payroll, expense reporting, vendor management, facilitation of appointments, and budget analysis, sponsored research administration, and other tasks related to grant management. The Coordinator will also play a crucial role in our adoption of new tools and methods for tracking community records and maintaining those records.
As Finance and Operations Coordinator, you will:
- Ensure timely and accurate processing of expense reporting across all BKC-affiliated centers, including training and setting up new employees as necessary with procurement cards and corporate cards, and reviewing, coding, and approval of expenses in line with established timelines.
- Process invoices, stipends, other payments; serve as liaison to vendors including communications, facilitating signed contracts, and the addition of vendors to the payment system.
- Oversee Center payrolls by reviewing and approving weekly and bi-weekly payrolls and acting as the main payroll liaison with the Law School Human Resources Office.
- Ensure the proper allocation of salaries, stipends, and expenses across a dynamic set of sponsored, gift and core funds.
- Assist in grant and gift management and financial analysis duties, including reviewing and reconciling project spending, performing journal entries and other fund transfers as needed, and preparing monthly financial reports for funders and other stakeholders.
- Assist Finance Director with the annual budget process, including reporting changes, allocations, and submissions to HLS Finance as required.
- Partner with HLS Human Resources, Harvard International Office (HIO) and other administrative offices to process Harvard appointments for various employee and non-employee affiliates, including assisting with visa applications for international applicants.
- Assist with the administrative onboarding and offboarding process for staff, research assistants, fellows, visiting researchers, and affiliates to the Berkman community.
- Advise and train the Berkman community in Center and University financial policies and best practices and assist in documenting procedures.
- Support the implementation and administration of the new financial and reporting systems, including cleaning and loading of data and design of user interfaces in coordination with managers and IT team.
- Be called upon for other tasks, sometimes on short notice, based on the fast-paced and changing needs of the Center.
Basic Qualifications
5 years of experience in accounting, administration, human resources, or related field. Education beyond high school may count toward years of experience.
Additional Qualifications and Skills
We are looking for people who are/have:
- Experience managing sponsored research grants or similar financial environments; payroll and/or human resources experience helpful.
- Facility with Microsoft Excel strongly desirable.
- Effective interpersonal skills, including experience working with a range of dynamic, diverse, and highly motivated individuals; comfort receiving and offering feedback; ability to build and maintain relationships across the Center including faculty, staff, visiting scholars, and students.
- Experience managing workflows and designing processes within non-profit or academic organizations; confidence in learning new systems and processes.
- Focus on equity and inclusion and eagerness to prioritize these values within all aspects of work and programming.
- Proactive, highly organized, detail-oriented, naturally curious, and able to thrive in a fast paced, dynamic environment.
- Comfortable with ambiguity and constant change.
- Effective writing, editing, proofreading, for academic and general audiences.
- Familiarity with Harvard systems such as Concur, Buy2Pay and PeopleSoft is a plus.
Appointment End Date: As with all Berkman Klein Center positions, this is a term appointment currently expected to extend to June 30, 2026, with potential for renewal, subject to departmental funding and need.
Standard Hours/Schedule: 35 hours per week. Full-Time, M-F. Occasional evening and weekend work may be required.

Work Format Details
This is a position that is based at a Harvard campus location with some remote work options available. Additional details will be discussed during the interview process. All remote work must be performed within one of the Harvard Registered Payroll States, which currently includes Massachusetts, Connecticut, Maine, New Hampshire, Rhode Island, Vermont, Georgia, Illinois, Maryland, New Jersey, New York, Virginia, Washington, and California (CA for exempt positions only). Certain visa types and funding sources may limit work location. Individuals must meet work location sponsorship requirements prior to employment.
