Job Summary:
The Harvard T.H. Chan School of Public Health is dedicated to advancing the public's health through learning, discovery, and communication. The field of public health is inherently multi-disciplinary and so, too, are the interests and expertise of the school’s faculty and students. Within this rich and diverse environment, the mission of the Office of Educational Programs (OEP) is to deliver student-centered educational programs based on active learning principles that enable graduates to become leaders in public health research and practice.
The Educational Programs Coordinator will be part of a small customer service-driven team that is charged with managing the operations of the Office of Education's (OED) academic programs. This key support role will engage with students through multiple program offerings in OEP and will be responsible for managing various aspects of the programs with minimal supervision, requiring independent thought and action.
Job-Specific Responsibilities:
Reporting to the Assistant Director in the Office of Educational Programs, the Educational Programs Coordinator provides comprehensive support for a broad range of program operations, working closely with students, faculty, and staff across the School. This role collaborates regularly with key administrative offices, including Admissions, the Registrar, Facilities, Finance, and Information Technology. The Coordinator supports multiple programs, including the MPH in Epidemiology, Online Master of Science, Summer Session for Public Health Studies, and the general MPH program.
Duties and responsibilities include, but are not limited to the following:
- Student Support:
- Serve as the primary point of contact for prospective and current student inquiries, providing timely, accurate, and comprehensive information regarding program offerings and requirements. Deliver engaging program presentations to prospective, admitted, and current students. Manage and coordinate email communications related to registration, onboarding, cohort activities, housing, and graduation, ensuring clarity, consistency, and a high standard of professionalism across all correspondence.
- Coordinate the visa certification process in collaboration with Admissions, work with the Harvard International Office to send appropriate visa directions to online students who are attending graduation.
- Arrange housing accommodations for students who travel to campus in June, maintain vendor contract with housing facility and organize room assignments.
- Oversee course registration and the degree audit process for online and hybrid programs, proactively identify students who have not met requirements, communicate with them directly, and provide advising support as needed.
- Plan and coordinate several new student orientations for hybrid and online students, develop and facilitate virtual and on-campus cohort events throughout the academic year, and implement strategies to provide ongoing support for both students and faculty
- Course/Program Support:
- Serve as the primary lead for the MPH-EPI Symposium, oversee all aspects of planning and execution. Collaborate closely with the faculty director to coordinate event details, schedule presenters, and develop the symposium agenda and attendee materials. Manage event logistics, including catering arrangements and coordination with Information Technology services to ensure seamless delivery.
- Support admissions operations by maintaining and updating admissions databases, conduct initial staff reviews of applications, coordinate the assignment of applications to faculty reviewers, and assist with recruitment and yield activities.
- Oversee the administration and distribution of three online certificate programs for all online students, ensuring that participants meet established criteria. Manage the application and review process, and design and distribute certificates upon successful completion.
- Serve as the staff liaison on the MPH-EPI Practicum Committee. Participate in monthly meetings with instructional designers and faculty.
- Collaborate with the Assistant Director on the course form submission and approval process by collecting necessary materials and faculty signatures for the Committee on Educational Policy. Submit approved forms to the
- Registrar’s Office and maintain updated course records, including faculty assignments, dates, descriptions, and registration priority waves.
- Manage the recruitment and onboarding of teaching fellows for hybrid and online programs. Prepare and process all necessary hiring forms and employment contracts. Ensure compliance with institutional policies and coordinate with relevant administrative offices.
- Marketing Support:
- Oversee the MPH-EPI program’s social media presence and collaborate with the Assistant Director to develop and implement marketing campaigns for hybrid and online programs. Create and manage engaging content and lead the current student and alumni outreach team to strengthen word-of-mouth marketing and program visibility.
- Support marketing and communications initiatives by managing listservs, developing and distributing content, maintaining program websites, and coordinating surveys to collect and analyze feedback for continuous improvement.
- Other Support:
- Manage and negotiate contracts with external vendors for social and education events.
- Plan and execute program events, including community-building activities, meetings, seminars, guest lectures, and graduation ceremonies. Assemble budget plans and manage logistics such as catering, communications, materials, and event setup.
- Provide front desk support by greeting and assisting visitors.
The Educational Programs Coordinator will perform additional duties as assigned.
PLEASE NOTE: This role may require occasional evening hours (e.g., for seminars) and limited weekend work. Any such time will be adjusted within the standard workweek, with advance notice provided.
Basic Qualifications:
- 5+ years of related experience required; a combination of education and experience may be considered

- Bachelor's Degree
- Experience with Excel, PowerPoint, and Word
- Excellent interpersonal and communication skills
- High adaptability and flexibility and a personal orientation to learn and grow
- Experience effectively prioritizing work in an environment with multiple and conflicting interests
- Works well independently with minimal supervision
- Handles sensitive and confidential information with a high level of discretion

This position has been determined by school or unit leaders that some of the duties and responsibilities can be effectively performed at a non-Harvard location. The work schedule and location will be set by the department at its discretion and based upon operational needs. When not working at a Harvard or Harvard-designated location, employees in hybrid positions must work in a Harvard registered state in compliance with the University’s Policy on Employment Outside of Massachusetts.
