Job Summary:
The purpose of this position is to provide administrative support to the Center for Race, Inequality and Social Equity Studies (CRISES). CRISES is a new center run by Professor Lawrence Bobo and consists of a small team of a Director of Administration & Operations and a Research Scholar. The goal of CRISES is to create a space for scholarship and research on race, racism and society. To accomplish these goals, CRISES will hold events on campus and create a virtual and physical gathering space for research and scholarship. The Program Coordinator will support the Director of Administration and Operations (DAO) and the Research Scholar to organize events, assist with grant proposals and survey research, arrange space and order food for events, coordinate calendars and meetings and other related tasks.
Job-Specific Responsibilities:
Typical duties include:
CRISES Administrative Support
Serves as principal administrative contact and liaison with departmental and external constituents.
Supports Director of Administration and Operations, Research Scholar, and Director of CRISES with other duties as needed (ordering office supplies, regular workshop series coordination, scheduling conferences and providing space for faculty, etc.).
Organizes and implements administrative systems and procedures performing necessary support duties.
Event Planning
Coordinates and negotiates with hotels, caterers and vendors, makes recommendations for food and activities for participants and guests, managing a pre-assigned event budget.
Assigns and coordinates classroom, venue, AV and other facilities on behalf of CRISES.
IT and Web Management
Serves as the IT point person for the department.
Maintains web page with comprehensive department/program news/information working with DAO.
Research Administration and Assistance
Research coordination and administration, literature reviews, and assistance collecting and interpreting data for proposed surveys to be distributed by CRISES.
Grant Coordination
Prepares and reviews complex documents to assure compliance with university requirements and/or Grant regulations.
Assists in the preparation of supplemental material for grant proposals.
Maintains financial documentation, provides information, research, statistics, and analysis.
Makes decisions on small event expenditures and monitors towards a defined budget.
Project Coordination
Coordinates, and has direct responsibility for, a project or specific set of tasks related to logistics, operations, meeting planning, collecting information for CRISES (Ex: setup regular committee meetings).
Data Coordination
Gathers and maintains data for and assists in preparing reports (event evaluation, surveys, help Research Scholar present data), often using a variety of computer software
Prepare statistics and reports on program participation, marketing responses, budget, and evaluation.
Outreach Coordination
Coordinates outreach to students, faculty, and community members.
Produces an array of communications materials such as event flyers and newsletters.
Working Conditions:
This is a hybrid position. The team is currently working in the office 3x week. On site frequency is subject to change based on business needs. This position may require occasional overtime on early mornings, evenings or weekends.
Basic Qualifications:
3 or more years of related experience. Education beyond high school may count toward experience.
Additional Qualifications:
Strong written and oral communication skills, technology mastery, Google Docs, Microsoft Suite, Teams, Zoom and management of calendar of events and website. Ability to learn Harvard specific budget systems.
Optional Experience: Knowledge or interest in qualitative research methodology.

Work Format Details
This position has been determined by school or unit leaders that some of the duties and responsibilities can be effectively performed at a non-Harvard location. The work schedule and location will be set by the department at its discretion and based upon operational needs. When not working at a Harvard or Harvard-designated location, employees in hybrid positions must work in a Harvard registered state in compliance with the University’s Policy on Employment Outside of Massachusetts. Additional details will be discussed during the interview process. Certain visa types and funding sources may limit work location. Individuals must meet work location sponsorship requirements prior to employment.
