Job Summary:

If so, consider the coordinator role, where you will be a member of the MBA Registrar Services team with a specific focus on the Curricular programs.
Job-Specific Responsibilities:
Academic Infrastructure
- Oversee ongoing updates to the Student Information System database (SIS) to ensure accuracy in date, start time, end time and location details as well as faculty/staff access, student enrollment records and grade reporting. Assist with creation of all courses in SIS; manage lesson and enrollment loads.
- Liaise with Operations on classroom spaces for Elective Curriculum (EC) use.
- Participate in the Required Curriculum (RC) sectioning and discussion group formation process.
- Oversee capacity limits of EC course sections through course selection and cross registration processes, including work with HBS Doctoral Program and MBA Tech Fellows.
- Manage Independent Projects (IP) posting site; respond to companies, organizations, alums and faculty who submit project ideas, publish for students and archive at term close.
- Oversee use of online registration tool for Independent Projects (IP) and field questions from students and potential supervisors.
- Data analysis and reporting on EC courses to support faculty and MBA program leadership.
Exams
- In collaboration with Support Services, ensure a smooth exam process through management of exam absences and accommodations, including timely updates to faculty and Faculty Support Specialists (FSS) on student exam times outside the standard window.
- Facilitate and track the absence from exam petition process.
- Facilitate exam materials with Course Heads and Unit Coordinators, print exams with MSP, prepare exam classroom materials.
- Assist with scheduling for full array of EC courses in multiple sections.
- Create and monitor exam tool sites and work closely with faculty and Faculty Support Specialists (FSS) on exams from planning through execution.
Customer Service for Students
- Update ShareSites with Curricular Programs-related information for students.
- Staff the EC toolkit and independent project inboxes throughout the year and escalate issues as needed. Respond to a high volume of student email questions and requests in a timely manner with judgement and sensitivity.
- Deliver Add/Drop customer service to students in high profile, intense process at term start.
- Monitor student progress toward graduation requirements.
Grades
- Work with faculty and Faculty Support Specialists (FSS) on timely grade submission in deadline driven process; design communication plan, reminders, and check ins; monitor through to completion.
- Connect with Associate Director, Special Projects in any case of grade changes for Academic Performance Committee (APC).
EC Registration and Add/Drop Process
- Support the EC registration and Add/Drop process by providing information on the registration system and the associated resources for students.
- Support the management of the Add/Drop process including advising students on Add/Drop. Assist in creating a staffing and training plan for volunteers who help during the Add/Drop period.
Other Duties for MBA Registrar Services
- Support all-hands-on-deck events such as Term Start-up and Graduation.
- Develops relationships with Faculty Support Specialists and Division of Faculty Research and Development (DRFD) team. Serve as primary resource for Faculty Support Specialist (FSS).
- Develop ongoing documentation.
- General Curricular Programs team support – student/faculty non-urgent inquiries.
- Build trust and collaboration by being present on-site and engaging directly with colleagues and various constituents.
- This role is responsible for other duties as assigned.
Working Conditions:
- Extra hours may be required during Add/Drop.
Basic Qualifications:
- High School Diploma, GED, or equivalent is required.
- 5+ years of experience in administrative support role(s) is required.
- Education beyond high school may count toward experience.
- Microsoft Office (Word, Excel, PowerPoint, and Outlook) experience is a must.
Additional Qualifications and Skills:
- Excellent communication and organizational skills.
- Outstanding customer service focus.
- Strong attention to detail.
- Discretion, judgment, and an ability to work with sensitive information in a confidential manner.
- Strong command of Microsoft Office programs especially Excel.
- Appointment End Date: This position is approved for a (1) year term (with possibility of renewal/extension) which begins on the person's first day of employment.

- This is a hybrid position which we consider to be a combination of remote and onsite work at our Boston, MA based campus. HBS expects all staff to be onsite a minimum of 3 days per week and departments provide onsite coverage Monday – Friday. Specific hours and days onsite will be determined by business needs and are subject to change with appropriate advanced notice.

Work Format Details
This position has been determined by school or unit leaders that some of the duties and responsibilities can be effectively performed at a non-Harvard location. The work schedule and location will be set by the department at its discretion and based upon operational needs. When not working at a Harvard or Harvard-designated location, employees in hybrid positions must work in a Harvard registered state in compliance with the University’s Policy on Employment Outside of Massachusetts. Additional details will be discussed during the interview process. Certain visa types and funding sources may limit work location. Individuals must meet work location sponsorship requirements prior to employment.
